Who we are
Heather Phipps, trading as Middleton Livery Yard, Old Rd, Barlaston, Stoke-on-Trent ST12 9EN, is responsible for the personal information described in this policy. You can contact us on 07925 330526 or at middletonliveryyard@gmail.com.
What we collect
Arena hire bookings: your name, telephone number, email address, the date and time booked, number of horses, whether floodlights were selected, any booking notes you add, and confirmation that you accepted our terms. Approved liveries also enter a private livery booking code.
Payments: card and wallet payments (including Apple Pay and Google Pay) are processed by Stripe. We never see or store your full card details. We keep a record of the amount paid, any refund and the payment reference.
Livery enquiries: the enquiry form opens your own email app with your details filled in. Nothing is stored on this website; we receive your message as a normal email.
Owner sign-in: the yard owner's email address is used to sign in to the private management area.
How we use it
To take, manage and, where applicable, refund your arena booking; to contact you about your booking or enquiry; to keep the arena calendar accurate and prevent double bookings; and to keep records we need for accounts.
We use this information because it is needed to provide the booking or service you asked for, and to meet our legal and accounting obligations.
Who we share it with
Stripe, to process payments and refunds. Our website hosting and database provider, which stores booking records on our behalf. Google, which provides the map and fonts shown on this website and may receive your device's IP address when they load. We do not sell your information or use it for marketing.
How long we keep it
Booking and payment records we need for tax purposes (such as the date, amount paid, any refund and the payment reference) are kept for at least five years after the 31 January Self Assessment tax-return deadline for the tax year they relate to, as HMRC requires for sole traders, and longer where the law requires it.
Other booking details that are not needed for tax, such as booking notes, are kept only as long as needed to provide your booking and deal with any query or dispute about it, and then deleted.
Livery enquiries arrive as normal emails and are kept only as long as needed to respond and discuss a place at the yard. If you become a livery client, relevant details are kept for the length of the livery agreement and our accounts.
Livery booking codes are kept while the livery remains with us. The owner's sign-in details are kept while the account is in use.
Your rights
You can ask to see, correct or delete the information we hold about you, or object to how we use it, by contacting us using the details above. If you are unhappy with how we handle your information you can complain to the Information Commissioner's Office (ico.org.uk).
